When searching for an “IT consultant”, the need can be anything from a single technical task to a larger strategic problem: “our IT isn’t working and we’re spending way too much time on it.” The challenge for many organisations is that IT often ends up as an unpredictable expense if you only buy help when something breaks. You pay for the symptoms – but you rarely get rid of the causes.

A good IT consultant therefore not only helps to solve the problem here and now, but to create a setup where problems happen less often. This typically requires three things: a clear scope, a stable foundation and a simple collaboration model. Scope is about defining what the task is: is it Microsoft 365, network, security, backup, or something else entirely? When the scope is unclear, the delivery is unclear – and it becomes difficult to assess time, price and quality.

The foundation is about getting the “basics” in place. It’s rarely the most exciting, but it creates stability: updates/patching, clear rights, encryption, tested backups, and a network setup that matches your needs. When the foundation is not in place, every new project becomes more complex because everything is a special case.

The collaboration model is all about how you work together in practice. Many organisations get the most value when there is a single point of contact (SPOC) and when there is a regular rhythm for status and follow-up. This could be a short monthly meeting to review: what’s been going wrong, what have we solved, and which 2-5 improvements will provide the most value next month? This way, IT doesn’t become a “black hole”, but an area you can control.

That’s why it’s often beneficial to start with a brief clarification and prioritised plan before embarking on major changes. It makes it easier to choose: should we run a finite project or does it make more sense to consolidate operations, support and security into a fixed model so that the improvements are maintained? One does not exclude the other. Many start with a project (e.g. cleaning up Microsoft 365) and then move into operations/support when the level needs to be maintained.

When choosing an IT consultant, look for clarity: can they explain what they do, why it works and what it means for your everyday life? And can they document it so you don’t become dependent on one person? When these things are in place, both quality and price become more predictable – and IT becomes an area that supports the business instead of stealing time.
